Questions

Pricing

How much does SFA Solutions charge for medical billing?

Pricing is based on your monthly insurance collections: practices collecting under $15,000 a month pay a flat $500 a month, practices collecting $15,000 through $30,000 pay a flat $1,000 a month, and practices collecting more than $30,000 pay 3.5% of insurance collections. There are no hidden fees and no long-term contracts. The exact rate depends on your specialty, claim volume and which services you choose, and we quote it after a free audit.

Are there any hidden fees?

No. Your agreement lists everything included in your plan. Credentialing is free with every billing plan, and anything outside your plan is quoted in writing before we start.

Do you require a long-term contract?

No. Service runs month to month, and you can end it at any time with 60 days’ written notice. The notice period gives us time to hand over your open claims and A/R cleanly.

Questions

Getting started

How fast can you start?

We can typically begin within 24 hours of receiving access to your EHR or practice management system. Claims keep going out during the transition.

Do we need to change our software?

No. We work inside the system you already use, including Epic, eClinicalWorks, athenahealth, NextGen, Tebra, AdvancedMD, Office Ally, DrChrono and more than 50 others.

What happens to the A/R we already have?

We review it and work it. We sort your open claims by age, value and filing deadline and work them alongside new claims, including older balances that may have been written off.

Do you offer a free audit?

Yes. Our free audit reviews your current billing, shows where revenue is being lost and estimates what you should be collecting. There is no commitment.

Questions

Credentialing

Is credentialing really included for free?

Yes. Credentialing and payer enrollment are included at no cost with every billing plan. Credentialing on its own is $200 per provider per payer (Free with Billing Services), paid after approval.

How long does credentialing take?

It depends on the payer. Medicare often takes about 45 to 90 days, Medicaid varies by state, and commercial payers can take 60 to 180 days. Read our guide on how long provider credentialing takes for more detail.

Questions

Billing and reporting

Which payers do you work with?

Medicare, Medicaid and Medicaid managed care plans, Medicare Advantage, TRICARE and commercial payers in all 50 states.

How do you handle denied claims?

Every denial is reviewed, corrected or appealed, and traced to its cause. We fix the cause at the front desk, in coding or in documentation so the same denial does not repeat.

What reports will we get?

Dashboards updated daily plus a monthly report covering charges, collections, denial rate, days in A/R and the actions we took, broken down by provider and location.

Can you handle multiple locations?

Yes. We bill for multi-location groups with reporting by location and provider.

Questions

Security and HIPAA

How do you protect patient information?

We follow HIPAA-compliant processes, our staff complete HIPAA training, and we sign a Business Associate Agreement with every client. See our Security and Compliance page for details.

Should I send patient information through your website?

No. Please do not include patient names, dates of birth or other health information in our website forms. Once we work together, patient information is handled inside your own systems and under our HIPAA-compliant processes and Business Associate Agreement.
