Medical Billing Services in Kansas
Billing, coding, credentialing and denial management for Kansas practices, with Medicare claims through Wisconsin Physicians Service (WPS) (Jurisdiction J5) and Kansas Medicaid handled by people who know the rules.

Medical billing for Kansas practices
Kansas practices bill a mix of urban and frontier markets. Wichita, Topeka and the Kansas side of the Kansas City metro carry most of the commercial volume, while western Kansas clinics rely heavily on Medicare and KanCare. Nearly all Medicaid members are enrolled in KanCare managed care, and the plan line-up changed in 2025 when Healthy Blue joined Sunflower and UnitedHealthcare and Aetna left the program.
SFA Solutions works with Kansas practices remotely. We bill Medicare Part B through WPS, keep your KMAP enrollment active so KanCare plans can pay you, and work claims and denials with each MCO. Kansas City area practices often bill two different Blue Cross plans depending on the patient's county, and we sort that out before the claim goes out. Most clean claims are submitted within 24 hours.

These are the programs and rules our team works with for Kansas claims.

Kansas Medicaid
KanCare (Kansas Medicaid and CHIP), administered by the Kansas Department of Health and Environment with the Kansas Department for Aging and Disability Services
Portal: Kansas Medical Assistance Program (KMAP) provider portal for enrollment, eligibility and fee-for-service claims, operated by fiscal agent Gainwell Technologies
Medicaid managed care
KanCare members are enrolled with one of three MCOs under contracts that began January 1, 2025: Healthy Blue, Sunflower Health Plan and UnitedHealthcare Community Plan. Aetna Better Health of Kansas is no longer a KanCare plan.
Timely filing
12 months from the date of service for KMAP fee-for-service claims, with resubmission of denied claims allowed up to 24 months from the date of service (K.A.R. 129-5-65); KanCare MCOs set their own limits in provider contracts.
Commercial and Medicare Advantage
Blue Cross and Blue Shield of Kansas covers most of the state, while Blue Cross and Blue Shield of Kansas City covers Johnson and Wyandotte counties. UnitedHealthcare, Aetna, Cigna and Medica are also active, and Humana and UnitedHealthcare lead Medicare Advantage.
Prompt pay law
K.S.A. 40-2442 requires insurers to pay a clean claim, or send notice of its status, within 30 days of receipt. Once requested information arrives, the insurer has 15 days to pay or deny, and late payments carry 1% monthly interest.
Nurse practitioners
Full practiceSince July 1, 2022, Kansas NPs can prescribe without a supervising physician or collaborative agreement. They can enroll under their own NPI with Medicare, KMAP and the KanCare MCOs.
Credentialing
Kansas requires every provider who treats KanCare members to enroll with KMAP, including providers who bill only the MCOs. After KMAP enrollment is active, each MCO credentials separately. Both Kansas Blue plans and most commercial carriers use CAQH ProView, which should be re-attested every 120 days.
Billing challenges Kansas practices face
Two Blue Cross plans
Blue Cross and Blue Shield of Kansas and Blue Cross and Blue Shield of Kansas City are separate companies with separate contracts and portals. A patient from Johnson County may carry the Kansas City plan while a patient from Lawrence carries the Kansas plan. We confirm the right Blue plan before billing to avoid misdirected claims.
KanCare plan changes
When Aetna left KanCare in 2025, its members moved to Healthy Blue, Sunflower or UnitedHealthcare. Practices that did not update payer records or enroll with Healthy Blue saw denials. We check each patient's plan and your participation status with all three MCOs.
Frontier and rural clinics
Many western Kansas practices run as rural health clinics or critical access hospital clinics with Medicare billing rules that differ from standard professional claims. Errors in revenue codes or encounter billing lead to rejections. We set up claim types correctly for each location.

Kansas medical billing questions
What is the timely filing limit for Kansas Medicaid?
Under K.A.R. 129-5-65, KMAP fee-for-service claims must be filed within 12 months of the date of service, and a denied claim can be resubmitted up to 24 months from the date of service. KanCare MCOs set their own limits, so check each plan's provider manual.
Which MCOs administer KanCare?
Since January 1, 2025, KanCare members are served by Healthy Blue, Sunflower Health Plan and UnitedHealthcare Community Plan. You must be enrolled with KMAP and credentialed with each plan to be paid.
Who is the Medicare contractor for Kansas?
Wisconsin Physicians Service (WPS) is the Jurisdiction 5 (J5) A/B MAC for Kansas, Iowa, Missouri and Nebraska. Enrollment changes go through PECOS.
Can nurse practitioners bill independently in Kansas?
Yes. Kansas granted NPs full practice authority in 2022, so a collaborative agreement is no longer required. NPs can enroll under their own NPI, and Medicare pays NP services at 85% of the physician fee schedule.
