About billing in AdvancedMD

AdvancedMD is a cloud medical office platform with practice management, billing, EHR and patient engagement tools. Its billing side includes Claim Inspector, which checks claims against CCI, HIPAA, LCD and carrier-specific requirements before submission, a Claims Center with auto-generated worklists and claim status tracking, an A/R Control Center for collections and denial tracking, and a built-in medical billing clearinghouse with automated ERA receiving and posting. AdvancedMD markets to independent practices, larger groups such as MSOs, IPAs and ACOs, and billing companies.

Does SFA work with AdvancedMD?

Yes. We work inside your AdvancedMD account using user logins your practice creates. We have no partnership or integration with AdvancedMD.

What billing work does SFA handle in AdvancedMD?

We work Claim Inspector edits, submit and track claims through the AdvancedMD clearinghouse, post ERA and paper payments, work denials, and follow up on aging A/R from the A/R Control Center worklists. Coding review against the chart can be added if your practice wants it.

How does onboarding work?

It starts with a free practice audit, where we review your billing in AdvancedMD and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. We also review your Claim Inspector settings and existing worklists so we know what is already flagged.

Do we need to change our EHR?

No. We work inside your existing AdvancedMD setup, so there is no migration and your providers keep documenting the way they do today. Your AdvancedMD templates, fee schedules and clearinghouse stay in place.

What access does SFA need?

We need AdvancedMD user accounts with billing, claims, payment posting and collections permissions, plus chart access if coding review is included. Your administrator sets the rights for each account and can remove them at any time.

How are claims handled?

Claim Inspector flags errors before submission, and we correct them in the Claims Center before claims go out. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. Claim status updates are tracked in AdvancedMD, and rejected claims are fixed and resent.

How are payments posted?

AdvancedMD receives and posts many ERAs automatically, so we review auto-posted batches and work lines that did not post or posted with unexpected amounts. Paper EOBs and patient payments are posted manually and matched to deposits.

How are denials worked?

Denials are tracked in the A/R Control Center, where we sort them by reason and payer. We correct and resubmit what is fixable and send appeals with the documentation the payer needs.

How does SFA Intelligence fit in?

SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside AdvancedMD, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using AdvancedMD as usual, and our billers review and own every claim decision. There is no direct integration with AdvancedMD, only the access your practice grants.

What reporting will we get?

You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use AdvancedMD's own dashboards and A/R reports where your access allows. Figures are reconciled to what AdvancedMD shows, so your numbers and ours match.

What security controls apply?

We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our AdvancedMD accounts and can change or revoke them at any time.

What does implementation look like?

After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With AdvancedMD, we also clean up stale worklist items so the queues reflect real, current work. Your named account manager is your single point of contact throughout.

Billing tips for AdvancedMD practices

Do not override Claim Inspector blindly

Claim Inspector checks CCI pairs, LCD coverage and carrier rules. When it flags an edit, fix the code, modifier or diagnosis, or document why it applies. Overriding without a reason tends to come back as a denial.

Review unexpected payment worklists

Auto-generated worklists flag denials and payments that do not match expectations. Working them weekly is the simplest way to catch underpayments against your contracted rates.

Check auto-posted ERAs

Automated ERA posting saves time, but adjustments and patient responsibility still need a look, especially for secondary claims and takebacks that offset other payments.
