Medical billing for practices on Epic

SFA Solutions works claims, payments and denials for physician practices on Epic, inside the system your organization already runs. Your providers keep charting in Epic, and our U.S.-based billing team works the professional billing side.

No EHR migration required. SFA is not affiliated with or endorsed by the platform vendor.

About billing in Epic

Epic's revenue cycle software is called Resolute, with separate applications for Hospital Billing, Professional Billing, Home Health and Enterprise (single billing office) billing. Professional Billing posts and voids charges on guarantor accounts, runs charge entry checks, and opens payment batches when scanned EOBs arrive. Claims are produced in claim runs, often through nightly batch processing, and sent to the clearinghouse each organization contracts with. Epic is used by health systems, clinics and standalone specialty groups, and many smaller practices reach it through a host health system.

Does SFA work with Epic?

Yes. We work inside your Epic environment using accounts your organization creates for our billers, typically with access to Resolute Professional Billing activities and the workqueues assigned to us. We do not have an official partnership or integration with Epic Systems.

What billing work does SFA handle in Epic?

We handle charge review, claim edit and rejection workqueues, payer follow-up, denial appeals, payment posting exceptions and credit balance review in Resolute Professional Billing. We can also run eligibility and work registration errors that hold claims, depending on how your build routes them.

How does onboarding work?

It starts with a free practice audit, where we review your billing in Epic and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. If you are on Epic through a host health system, the host's Epic access team usually provisions the accounts, so we start that request early.

Do we need to change our EHR?

No. We work inside your existing Epic setup, so there is no migration and your providers keep documenting the way they do today. Your Epic build, workqueue rules and clearinghouse stay as they are; we work within them.

What access does SFA need?

We need individual Epic user accounts with a security setup that allows Professional Billing work: charge and claim edit workqueues, account and claim activities, payment posting and follow-up. Your Epic administrator or host decides exactly what each account can see and do and can remove it at any time.

How are claims handled?

We work charge review and claim edit workqueues daily, correct the error the edit names, and use Refresh Claim so the claim reruns its edits before release. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. We target most clean claims submitted within 24 hours of final review.

How are payments posted?

Most 835 remittances post automatically in Epic, so our work centers on the exceptions: unmatched payments, partial postings and variances your build sends to a workqueue. Paper EOBs are posted in the payment batch Epic opens for each scan, and we reconcile batches to the deposit before closing.

How are denials worked?

Denials post with their CARC and RARC codes and route to follow-up workqueues. We group them by reason, fix the root cause (registration, authorization, coding or medical necessity), and file corrected claims or appeals within each payer's deadline.

How does SFA Intelligence fit in?

SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside Epic, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using Epic as usual, and our billers review and own every claim decision. There is no direct integration with Epic, only the access your practice grants.

What reporting will we get?

You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. Where your access allows, we pull from Epic's own Professional Billing reports and workqueue counts. Figures are reconciled to what Epic shows, so your numbers and ours match.

What security controls apply?

We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our Epic accounts and can change or revoke them at any time.

What does implementation look like?

After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With Epic, we also confirm which workqueues are owned by our team so nothing sits unassigned between your staff and ours. Your named account manager is your single point of contact throughout.

Billing tips for Epic practices

Refresh before you resubmit

After fixing a claim edit, use Refresh Claim from the Claim Edit workqueue so the claim reruns all internal and external edits. Releasing without a refresh can send the same error back through the clearinghouse.

Watch workqueue ownership

Epic routes items by rules your analysts build. When a new payer, location or provider is added, check that the related charge review and follow-up workqueues have an owner, or claims can sit untouched until timely filing becomes a risk.

Reconcile scanned EOB batches

Each scanned EOB opens its own payment batch. Close batches only after the posted total matches the deposit, because unbalanced batches make month-end cash reconciliation much harder to trace.
