About billing in DrChrono
DrChrono, now branded DrChrono by EverHealth, is a cloud EHR and practice management system. Its billing tools include the Live Claims Feed for reviewing and filtering claims, Medical Billing Profiles for common code sets, insurance eligibility checks, ERA and EOB posting, and denial tracking. Claims go out through eProvider Solutions (ePS), DrChrono's built-in clearinghouse, as daily 837 batches, and ERAs post automatically and appear under Billing > Remittance Reports. DrChrono lists general practice, pediatrics, internal medicine, counseling and therapy, and psychiatry among the specialties it serves.
Does SFA work with DrChrono?
Yes. We work inside your DrChrono account using user logins your practice creates for us. We have no partnership or API integration with DrChrono or EverHealth.
What billing work does SFA handle in DrChrono?
We review claims in the Live Claims Feed, set billing statuses, work ePS rejections, review auto-posted ERAs, post paper EOBs and patient payments, appeal denials and follow up on aging A/R. We can also run insurance eligibility checks ahead of visits.
How does onboarding work?
It starts with a free practice audit, where we review your billing in DrChrono and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. We also review your Medical Billing Profiles and fee schedules, since they drive what lands on each claim.
Do we need to change our EHR?
No. We work inside your existing DrChrono setup, so there is no migration and your providers keep documenting the way they do today. Your DrChrono setup, billing profiles and ePS clearinghouse connection stay as they are.
What access does SFA need?
We need DrChrono staff accounts with billing permissions for the Live Claims Feed, patient payments and remittance reports, and chart access for coding review. Your practice sets those permissions and can deactivate the accounts at any time.
How are claims handled?
When a claim is set to Bill Insurance, DrChrono batches it into an 837 file sent daily through ePS. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. Claims that fail the clearinghouse scrub come back on a 277 and show as Rejected or Missing Information in the Live Claims Feed, where we correct and resubmit them.
How are payments posted?
ERAs post automatically and appear under Billing > Remittance Reports, so we review each one for lines that did not match and for unexpected adjustments. Paper EOBs and patient payments are posted manually, and month-end checks include any unposted ERAs.
How are denials worked?
We filter the Live Claims Feed by billing status to find denied and partially paid claims, group them by reason, and correct or appeal each one. Your team sees the status change in the same feed.
How does SFA Intelligence fit in?
SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside DrChrono, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using DrChrono as usual, and our billers review and own every claim decision. There is no direct integration with DrChrono, only the access your practice grants.
What reporting will we get?
You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use DrChrono's Billing Summary report and Live Claims Feed filters where your access allows. Figures are reconciled to what DrChrono shows, so your numbers and ours match.
What security controls apply?
We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our DrChrono accounts and can change or revoke them at any time.
What does implementation look like?
After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With DrChrono, we also confirm ERA enrollment through ePS for your main payers, since payers without ERA send paper EOBs instead. Your named account manager is your single point of contact throughout.
Billing tips for DrChrono practices
Watch Payer Acknowledged
Claims move through statuses at the clearinghouse and payer. Payer Acknowledged is the one that matters, because it means the payer accepted the claim; a claim that never reaches it needs follow-up well before the filing limit.
Use the EFT hold option for reconciliation
DrChrono has an optional setting that holds an ERA until the matching EFT deposit is confirmed. It is enabled through your account manager or support and makes cash reconciliation cleaner for practices with many payers.
Keep billing profiles current
Medical Billing Profiles fill in codes from templates. When CPT or ICD-10 codes change each year, outdated profiles keep adding old codes until someone updates them.
