Medical billing for practices on NextGen

SFA Solutions works the billing side for practices on NextGen Healthcare products, inside the system you already license. Your providers keep charting in NextGen, and we handle claims, payments and A/R.

No EHR migration required. SFA is not affiliated with or endorsed by the platform vendor.

About billing in NextGen

NextGen Healthcare sells NextGen Enterprise, its EHR and practice management platform for groups of 10 or more providers, and NextGen Office for practices with fewer than 10. NextGen Enterprise PM includes modules for billing, clearinghouse and EDI, coding, collections and A/R management, and an AI Rules Engine that scrubs claims before submission. NextGen promotes Waystar as a revenue cycle partner whose platform exchanges claim and remittance data with NextGen Enterprise.

Does SFA work with NextGen?

Yes. We work inside your NextGen Enterprise PM or NextGen Office account using logins your practice creates. We do not have a partnership or integration with NextGen Healthcare.

What billing work does SFA handle in NextGen?

We review charges, submit and track claims, work clearinghouse rejections, post payments, appeal denials and follow up on aging A/R by payer. For multi-location groups, we can work by location or provider so each site sees its own numbers.

How does onboarding work?

It starts with a free practice audit, where we review your billing in NextGen and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. For NextGen Enterprise groups, we also map which locations, providers and payers each of our billers will cover.

Do we need to change our EHR?

No. We work inside your existing NextGen setup, so there is no migration and your providers keep documenting the way they do today. Your NextGen setup, rules and clearinghouse connection stay as they are.

What access does SFA need?

We need NextGen user accounts with billing, payment posting and collections permissions, and read access to clinical notes for coding review. Your NextGen system administrator controls those rights and can revoke them whenever you choose.

How are claims handled?

Claims pass through NextGen's rules and your clearinghouse edits, and we correct what is flagged before release. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. Rejections returned through the clearinghouse are fixed and resubmitted the same way.

How are payments posted?

ERAs flow in through your clearinghouse connection, and we post them and work the exceptions, such as unmatched payments, takebacks and zero-pay lines. Paper EOBs and patient payments are posted manually and reconciled to deposits by batch.

How are denials worked?

We group denials by reason and payer, fix the underlying cause, and submit corrected claims or appeals within each payer's deadline. Patterns that keep repeating are brought back to your team so the fix happens upstream.

How does SFA Intelligence fit in?

SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside NextGen, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using NextGen as usual, and our billers review and own every claim decision. There is no direct integration with NextGen, only the access your practice grants.

What reporting will we get?

You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use NextGen's own A/R and collections reports where your access allows. Figures are reconciled to what NextGen shows, so your numbers and ours match.

What security controls apply?

We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our NextGen accounts and can change or revoke them at any time.

What does implementation look like?

After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. For NextGen Enterprise groups, we also confirm which worklists and collections queues our team will own. Your named account manager is your single point of contact throughout.

Billing tips for NextGen practices

Know which product you are on

NextGen Enterprise and NextGen Office are different systems with different screens and setup. Training, user setup and reports should match the one your practice actually licenses.

Keep payer rules current

The AI Rules Engine catches errors before submission, but only for the rules it has. When a payer changes a policy (for example, a modifier or authorization requirement), add the rule so the next claim is stopped before it goes out.

Reconcile remits to deposits

When remittance data arrives through a connected clearinghouse such as Waystar, compare posted totals to the bank deposit each day. Remits without deposits, or deposits without remits, are easier to chase in the first week than the fifth.
