About billing in Tebra
Tebra combines the former Kareo billing and practice management software with PatientPop patient engagement tools. Tebra PM submits claims through a partner clearinghouse, tracks rejections and denials, and posts ERA payments from Encounters > Clearinghouse Reports. Tebra's help center includes rejection guides for TriZetto claim rejections and for Jopari workers' compensation and auto claims. Tebra markets to independent practices, in-house billers and billing companies, with specialties such as family medicine, pediatrics, mental health and nurse practitioners.
Does SFA work with Tebra?
Yes. We work inside your Tebra account using user logins your practice creates. We have no partnership, integration or marketplace listing with Tebra.
What billing work does SFA handle in Tebra?
We review encounters before submission, work clearinghouse rejections, post ERA and paper payments, appeal denials and follow up on aging A/R. If your practice was on Kareo before, we also clean up older open encounters carried into Tebra.
How does onboarding work?
It starts with a free practice audit, where we review your billing in Tebra and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. We also check which payers are enrolled for ERA in Tebra, since that decides how payments arrive.
Do we need to change our EHR?
No. We work inside your existing Tebra setup, so there is no migration and your providers keep documenting the way they do today. Your Tebra settings, fee schedules and clearinghouse connection stay as they are.
What access does SFA need?
We need Tebra user accounts with billing, encounter and payment permissions, plus chart access if coding review is part of the work. Your Tebra administrator controls those rights and can remove them at any time.
How are claims handled?
Encounters are reviewed and approved, then sent through Tebra's clearinghouse. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. Clearinghouse rejections are fixed at the source, for example the patient record, insurance policy or referring provider, and resubmitted.
How are payments posted?
We post ERAs from Encounters > Clearinghouse Reports on the Electronic Remittance tab, working oldest to newest and confirming the deposit before applying. Lines that do not post automatically open on the ERA Errors tab, and we resolve each one before saving.
How are denials worked?
We sort denials by reason code and payer, correct coding or registration issues, and submit corrected claims or appeals before the filing limit. Repeat issues are reported back so they can be fixed at check-in or charge entry.
How does SFA Intelligence fit in?
SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside Tebra, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using Tebra as usual, and our billers review and own every claim decision. There is no direct integration with Tebra, only the access your practice grants.
What reporting will we get?
You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use Tebra's own reports, such as the Payments Application report, where your access allows. Figures are reconciled to what Tebra shows, so your numbers and ours match.
What security controls apply?
We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our Tebra accounts and can change or revoke them at any time.
What does implementation look like?
After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With Tebra, we also confirm secondary claim settings, since balances transferred to secondary insurance are sent automatically for payers that accept electronic secondary claims. Your named account manager is your single point of contact throughout.
Billing tips for Tebra practices
Fix rejections at the record
Most rejections trace back to the patient record, the insurance policy or a provider setting. Correct the source (for example, the insurance program type or subscriber date of birth) so the next encounter does not repeat the error.
Resolve ERA Errors before saving
When an ERA opens on the ERA Errors tab, some amounts could not post automatically. Saving without resolving them leaves balances wrong on patient accounts and statements.
Check secondary transfers
Tebra can send balances to secondary payers electronically after the primary posts. Confirm the transferred amount on the Apply tab, because a wrong primary adjustment flows straight into the secondary claim.
