About billing in CollaborateMD

CollaborateMD, branded CollaborateMD by EverHealth AI, is cloud practice management and medical billing software built around billing workflows. It includes a built-in clearinghouse, built-in claim scrubbing, real-time and batch eligibility verification, ERA auto-posting, denial management, AI-powered claim rejection support and multi-client claim management. It is marketed to medical practices, medical billing companies, and lab and diagnostic facilities, and it connects to outside EHRs through integrations.

Does SFA work with CollaborateMD?

Yes. We work inside your CollaborateMD account using user logins your practice creates. We have no partnership or integration with CollaborateMD or EverHealth.

What billing work does SFA handle in CollaborateMD?

We work scrubber edits, submit claims through the built-in clearinghouse, resolve rejections, review ERA auto-posting, post paper payments, appeal denials and follow up on aging A/R. For practices that use an outside EHR, we also check that charges arrive complete.

How does onboarding work?

It starts with a free practice audit, where we review your billing in CollaborateMD and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. If charges come into CollaborateMD from a separate EHR, we also check that interface for missing or duplicate charges.

Do we need to change our EHR?

No. We work inside your existing CollaborateMD setup, so there is no migration and your providers keep documenting the way they do today. Your EHR, your CollaborateMD setup and its clearinghouse stay as they are.

What access does SFA need?

We need CollaborateMD user accounts with claim, payment and reporting rights, and access to your EHR if coding review is included. Your administrator controls those accounts and can disable them at any time.

How are claims handled?

Claims pass CollaborateMD's built-in scrubber first, and we fix flagged items before submission. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. Clearinghouse rejections are corrected and resent, with most clean claims submitted within 24 hours of final review.

How are payments posted?

ERAs auto-post in CollaborateMD, and we review each batch for lines that did not post, takebacks and unexpected adjustments. Paper EOBs and patient payments are posted manually and reconciled to deposits.

How are denials worked?

We sort denials by reason and payer, fix the cause and resubmit or appeal within the payer's deadline. Repeat patterns go back to your team so they are fixed at registration or charge capture.

How does SFA Intelligence fit in?

SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside CollaborateMD, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using CollaborateMD as usual, and our billers review and own every claim decision. There is no direct integration with CollaborateMD, only the access your practice grants.

What reporting will we get?

You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use CollaborateMD's built-in reports where your access allows. Figures are reconciled to what CollaborateMD shows, so your numbers and ours match.

What security controls apply?

We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our CollaborateMD accounts and can change or revoke them at any time.

What does implementation look like?

After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With CollaborateMD, we also run a batch eligibility check on upcoming visits early on to catch coverage problems before claims are created. Your named account manager is your single point of contact throughout.

Billing tips for CollaborateMD practices

Use batch eligibility before busy days

CollaborateMD supports batch eligibility checks. Running them a day or two ahead flags terminated or changed coverage while there is still time to update the patient record.

Check imported charges

When charges come from a separate EHR, an interface problem can drop or duplicate charges. Compare visit counts to claims created each week.

Review auto-posted ERAs

ERA auto-posting saves time, but denials posted as zero-pay lines and contractual adjustments still need review so balances move to the patient or secondary payer correctly.
