About billing in Office Ally

Office Ally offers Practice Mate, a free web-based practice management program, EHR 24/7, a web-based EHR, and Service Center, its clearinghouse for claim submission, acknowledgments, claim status, electronic remittance advice and real-time eligibility. Practice Mate users submit electronic claims through Office Ally, which charges no fee for claims to participating payers and charges for claims to non-participating payers, eligibility above an included volume and paper claims. Office Ally serves medical offices, providers and billers, and its testimonials describe small and mid-sized practices.

Does SFA work with Office Ally?

Yes. We work inside your Office Ally account (Practice Mate, EHR 24/7 or Service Center) using logins your practice creates. We have no partnership or integration with Office Ally.

What billing work does SFA handle in Office Ally?

We enter or review charges, submit claims through Service Center, fix rejections, post ERA and paper payments, appeal denials and follow up on aging A/R. We can also run eligibility checks before visits.

How does onboarding work?

It starts with a free practice audit, where we review your billing in Office Ally and walk you through where revenue may be slipping. If you move forward, we sign a Business Associate Agreement, your administrator creates user accounts for our team, and we review your payer list, fee schedules and open A/R. We also confirm ERA enrollment for your main payers, since Office Ally provides payer-specific ERA enrollment instructions.

Do we need to change our EHR?

No. We work inside your existing Office Ally setup, so there is no migration and your providers keep documenting the way they do today. Your Office Ally products and payer setup stay as they are.

What access does SFA need?

We need Office Ally user logins with access to Practice Mate or EHR 24/7 billing screens and to Service Center for claims, reports and remittance. Your practice creates those logins and can remove them at any time.

How are claims handled?

Claims are created in Practice Mate or uploaded to Service Center and checked before submission. Claims are reviewed against applicable billing, coding and payer-specific rules (10,000+ in our workflow) before submission to help identify preventable errors. We watch acknowledgments and claim status in Service Center and correct rejections on the site before resending.

How are payments posted?

ERAs from enrolled payers arrive through Service Center, and we post them and reconcile to deposits. Payers without ERA enrollment send paper EOBs, which we post manually until enrollment is complete.

How are denials worked?

We sort denials by reason code and payer, correct and resubmit what is fixable, and send appeals with supporting records. Office Ally's Audit & Denial Tracker can be used to track them if your practice has it.

How does SFA Intelligence fit in?

SFA Intelligence is our AI-assisted workflow, powered by the RCM Employee platform, which we license. It works alongside Office Ally, reading the claim and remittance data your practice authorizes, to run eligibility checks (270/271), check coding against NCCI edits, scrub claims, categorize denials by reason, flag timely-filing risk in A/R and reconcile 835 payments to spot underpayments. Your team keeps using Office Ally as usual, and our billers review and own every claim decision. There is no direct integration with Office Ally, only the access your practice grants.

What reporting will we get?

You get monthly reporting on collections, A/R aging, denials and clean claim rate, reviewed with your named account manager. We also use Service Center's custom reports where your access allows. Figures are reconciled to what Office Ally shows, so your numbers and ours match.

What security controls apply?

We sign a BAA before any work begins, and our U.S.-based team is HIPAA trained. Staff systems use MFA, staff devices are encrypted, and we complete an annual HIPAA security risk assessment. Your practice creates our Office Ally accounts and can change or revoke them at any time.

What does implementation look like?

After the BAA is signed and accounts are active, we can typically begin within 24 hours of receiving system access. The first weeks focus on clearing held or rejected claims, confirming ERA enrollment with your main payers and building an A/R worklist by age and filing deadline. With Office Ally, we also check payer IDs against Office Ally's current payer list, since a wrong payer ID is a common cause of rejections. Your named account manager is your single point of contact throughout.

Billing tips for Office Ally practices

Check participating payer status

Office Ally charges differently for claims to participating and non-participating payers. Knowing which of your payers are on its participating list helps avoid unexpected monthly fees.

Enroll for ERA early

Most payers require separate enrollment before they send ERAs through a clearinghouse. Office Ally publishes payer ERA enrollment instructions; start them during onboarding, since approval can take weeks.

Use eligibility at intake

Service Center offers real-time eligibility and benefits checks across many payers. Running them at scheduling or check-in prevents a large share of front-end rejections.
